Customs Solutions Coordinator – Full Time

The Custom Solutions (CS) Coordinator is primarily responsible for custom solutions activities concerned with the development of bids/estimates, bill of materials, ERP system entry, procurement of inventory, and the administration of proposed custom solution projects. This position will also be responsible for analyzing specifications, RFPs and other documentation to prepare material and labor cost estimates and proposals for proposed projects. In addition, this position engages with salespeople, customers and engineers to produce quotes and/or ensure a quality product arrives on time for the customer. The CS Coordinator plays a critical role in on-time delivery and shop floor planning. This role meets with various departments to ensure all parts are ordered and the technicians have supplies needed to perform their duties. 

In addition, responsibilities will include but not be limited to, the following:
 

% Of Time & Essential Functions

30% Estimating

  • Take project specification and requirements and customer provided P&ID’s and determines an estimated Bill of Materials (BOM) for that assembly based on the requirements
  • Work in collaboration with the sales department to prepare time, cost, and material estimates; consults with company personnel, customers, and vendors to discuss parameters of the job

  • Determine 3rd party services required and gets estimates from approved suppliers

  • Estimate labor, shipping, and testing costs based on existing drawing or based on visualized concept from created BOM and P&ID

  • Complete formal quotation documents on larger opportunities (effectively a 4- or 5-page proposal document that includes detailed BOM of major components, customer-supplied component details (if applicable) and all project deliverables, such as testing requirements, mounting and cleaning specifications), or generate system quotation in business system

  • Follow company project management process to maintain compliance with the quality system and corporate policies

30% Project Management

  • Maintain active engagement in projects through exceptional management, coordination, and resource allocation
  • Support the group’s project team in delivering customer satisfaction and profitability on assigned projects

  • Resolve issues, confer with services team, account managers, contractors on changes and adjustments to cost estimates and prepare estimates for sales proposals

  • Work with production department to expedite and complete orders and will make any necessary costing adjustments to inventory during the project

  • Manage Bill of Material Changes from Production

  • Assist the Custom Solutions Department on an as needed basis

  • Work closely with designers on drawing layouts to make bill of material adjustment as need prior to production work begins

  • Ensure project files including, as built drawings are complete

30% Procurement

  • Develop and implement purchasing and supply chain management processes for design/build and Custom Solution projects
  • Obtain price and delivery for all Swagelok components in the Bill of Material

  • Research and request from Vendors price and delivery of all 3rd party components related to request and incorporate those into costed Bill of Material

  • Maintain contacts and relationships with suppliers, contractors and subcontractors

  • Implement procurement processes to ensure quality, efficiency, cost savings and best practices

  • Manage preparation, implementation and execution of procurement processes as it relates to Custom Solutions Policies

5% Organizational goals:

  • Participate in teams and projects that contribute to the Strategic Plan
  • Identify and suggest solutions for continuous improvement opportunities across the organization
  • Conduct ongoing learning in areas of product, policy, and personal development in collaboration with the Technical Services Supervisor
  • Other duties as assigned

5% SAP Data Team/ Queries

  • Assist with data integrity in SAP
  • Work on creating and updating queries widgets in SAP

Position Requirements or Qualifications:

Education and Experience:

  • 2 or 4-year degree preferred and 2 years estimating experience (or equivalent combination of education and/or experience is required)
  • SAP experience preferred

Knowledge, Skills and Abilities:

  • Ability to progressively learn mechanical and fluid-system related technical information
  • Computer Skills: Proficient in Microsoft business applications (Word, Excel, PowerPoint and Outlook) and able to learn business system and other software platforms as required
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills, with a proven ability to meet deadlines
  • Ability to prioritize tasks
  • Thorough understanding of, or the ability to quickly learn about, the project or product being developed
  • Excellent interpersonal skills with ability to build personal and team-based relationships with all levels of associates
  • Understanding of customer applications and ability to develop/provide fluid handling solutions specific to customer needs and specifications
  • Interpretation of customer applications to develop P&ID and fluid schematics
  • Ability to solve complex problems and complete multiple projects
